The Temple Administrative Coordinator works 30 hours a week and will oversee the day-to-day functions of the office, manage the Rabbi’s calendar, and provide administrative support for the B’Mitzvah program and the religious school. Reporting directly to the Executive Director and working closely with clergy, staff, and lay leadership, the Temple Administrative Coordinator is critical in supporting the synagogue’s members, clergy, and staff.
SCHEDULE: T-F, 9-5 PM
LOCATION: Santa Rosa, CA; must be available to work in-person (not virtual or hybrid)
IDEAL EXPERIENCE: At least 3 years of relevant professional experience

Job Description:
The Temple Administrative Coordinator will oversee the day-to-day functions of the office, manage the Rabbi’s calendar, and provide administrative support for the B’Mitzvah program and the religious school. Reporting directly to the Executive Director and working closely with clergy, staff, and lay leadership, the Temple Administrative Coordinator is critical in supporting the synagogue’s members, clergy, and staff.
Key Responsibilities:
Administrative Leadership & Management:
• Oversee administrative functions, including CRM database management, accounts receivable, coordination of Rabbi’s and Executive Director’s calendar and B’Mitzvah program scheduling, and administrative support of the religious school director.
• Manage administrative staff and volunteers, providing leadership, mentorship, and performance oversight.
• Develop and implement efficient processes for intake and prioritization, ensuring smooth operational flow and effective communication.
• Manage payroll and hiring paperwork and track employee training.
• Oversee office management and equipment
• Coordinate purchasing of printed materials and office supplies
• Manage worker’s compensation insurance and benefits administration
Communication:
• Take responsibility for regular communication processes, including weekly congregation emails, reminder emails, and printed materials such as quarterly program guides and annual reports.
• Provide support to committees and occasionally attend committee meetings throughout the year.
Preferred Qualifications & Skills:
• Strong competency with CRM systems, Microsoft, and experience with ADP.
• Extensive administrative experience.
• Background in billing and accounts receivable
• Experience managing direct reports, working with volunteers and fostering team growth.
• Exceptional organizational, communication, and leadership skills.
• Knowledge of Jewish rituals, calendars, and cultural traditions is preferred.
Compensation & Benefits:
• ¾ time position (30 hours/week). Possible to increase to 40
• $60,000-65,000 annual salary, plus benefits (vacation and sick leave, medical, dental, vision, generous paid holidays, and pension match after 1000 hours)
